Terms & Conditions — Ranch to Rockies Loop (August 7–11, 2026)

By completing a booking for this tour, you ("the Guest") agree to the following terms with Gravel & Gas ("the Operator", "we").

1. Booking & Payment

A 25% deposit is required to secure your spot. The remaining balance is due 20 days before departure (July 18, 2026 for the August 7 departure). Bookings made within 20 days of departure require full payment at the time of booking. If the balance is not received by the due date, we may release your spot after attempting to contact you; the deposit remains non-refundable.

All prices are in Canadian dollars and subject to GST. Pricing is based on double or single occupancy.

2. Cancellation by You

• More than 20 days before departure: your deposit is non-refundable; any balance paid will be refunded in full.
• Within 20 days of departure: no refund will be issued.

Cancellations must be made in writing to hello@gravelandgas.com. The date of receipt is the cancellation date. We strongly recommend travel insurance to protect against unexpected cancellation.

3. Transfers

Your booking may be transferred to a future Gravel & Gas departure if requested in writing at least 10 days before your original departure date. The deposit is non-refundable; the remaining balance will be held as a credit valid for 12 months from the original departure date. Transfers are subject to availability. A booking may be transferred to another eligible rider at no charge with our prior written approval.

4. Cancellation or Changes by Us

If we cancel the tour for any reason other than force majeure (Section 13), you will receive a full refund of all amounts paid, including the deposit. This refund is the limit of our liability for a cancelled tour; we are not responsible for other costs you incur (such as flights, gear, or visas), which is a further reason we require you to consider travel insurance.

We may modify the route, accommodations, attractions, or daily schedule where required by weather, road conditions, safety concerns, or supplier availability. Where a substitution is made, it will be of comparable standard. No refunds are issued for itinerary changes of this nature or for unused portions of the tour.

5. Rider Requirements

You must: (a) hold a valid, full motorcycle licence recognized in Alberta and British Columbia (a learner's/graduated permit that restricts highway riding is not sufficient); (b) be a confident rider comfortable with sustained highway riding and winding mountain roads; and (c) be at least 21 years of age.

If riding your own motorcycle, it must be road-legal, mechanically sound, insured, and registered, with tires and brakes in good condition. We may decline to allow an unsafe motorcycle to join the tour, in which case our rental partner options or the support vehicle may be offered; no refund is owed if you decline these alternatives.

Rental motorcycles arranged through our partners are governed by the rental partner's own terms, insurance, and damage deposits, which are separate from these terms.

6. Gear & Conduct

You are responsible for your own riding gear. Helmets are required by law and must be worn whenever riding; we strongly recommend full protective gear (jacket, gloves, boots, rain gear).

Tour leads may issue safety instructions, adjust pace and group order, and make routing decisions, and you agree to follow them. Riding under the influence of alcohol, cannabis, or impairing drugs is strictly prohibited. We reserve the right to remove any guest from the tour for unsafe riding, impairment, or conduct that endangers the group, without refund. If you are removed or choose to leave mid-tour, onward travel costs are your responsibility.

7. Assumption of Risk & Waiver

Motorcycle touring involves inherent risks, including serious injury or death. By booking you acknowledge these risks. All guests must sign our Release of Liability, Waiver of Claims and Assumption of Risk Agreement at or before the welcome dinner. A guest who declines to sign the waiver may not join the tour and will be treated as having cancelled within 20 days of departure (no refund). 

8. Insurance

You must carry valid motorcycle insurance for your own bike (or the rental partner's coverage for rentals). Medical and travel insurance are not included and are strongly recommended, including coverage for motorcycle touring as an activity, trip cancellation, and emergency medical transport.

9. Medical Fitness

You confirm you are in adequate physical and mental health to ride 4–5 hours per day for 5 consecutive days. You must disclose in advance any medical condition that could affect your ability to ride safely or that guides should know about in an emergency. Information disclosed is kept confidential and used only for safety planning.

10. Support Vehicle & Loaner Motorcycle

The support vehicle carries luggage, tools, first aid supplies, and a spare motorcycle. If the spare motorcycle is provided to you following a breakdown, you are responsible for riding it with reasonable care and for damage caused by your negligence up to $5000. Use of the support vehicle as passenger transport is available if you are unable or choose not to ride.

11. Personal Property

We take reasonable care with luggage stored in the support vehicle but are not liable for loss or damage to personal belongings, including items left on motorcycles, in hotels, or at attractions. Keep valuables, medication, and documents on your person.

12. Photography & Media

Guides may photograph and film during the tour. You grant us permission to use images that include you in our marketing (website, social media, brochures) without compensation. If you prefer not to appear in marketing material, tell us in writing before the tour begins and we will accommodate this.

13. Force Majeure

We are not liable for failure to deliver the tour due to events beyond our reasonable control, including extreme weather, wildfire, flood, road or park closures, government action, labour disruption, or public health emergency. In such cases we will offer, at our discretion, a transfer to a future departure, a credit valid for 12 months.

14. Third-Party Suppliers

Accommodations, ferries, attractions, restaurants, and rental shops are independent businesses. We are not liable for their acts or omissions, though we will always assist in resolving issues with them.

15. Limitation of Liability

To the maximum extent permitted by law, our total liability for any claim arising from your booking is limited to the amount you paid to us for the tour. Nothing in these terms limits liability that cannot be excluded under applicable law.

16. Privacy

Personal information collected at booking is used to deliver the tour (reservations, safety, communication) and is not sold or shared beyond suppliers who need it to provide your trip.

17. General

These terms are governed by the laws of the Province of Alberta and the federal laws of Canada. If any provision is found unenforceable, the remainder stays in effect. These terms, together with the signed waiver, form the entire agreement for your booking.
